1️⃣ What are the major responsibilities of a Store Officer in a manufacturing company?

Answer:
A Store Officer is responsible for receiving, inspecting, and storing materials; ensuring accurate issuance to production; maintaining inventory records; managing stock levels; coordinating with purchase and production; updating transactions in SAP; implementing FIFO/FEFO; ensuring safe material handling; and supporting internal/external audits with proper documentation.


2️⃣ How do you ensure accuracy in inventory management?

Answer:
By regularly reconciling physical stock with SAP records, conducting cycle counts, implementing FIFO/FEFO strategies, maintaining bin location system, cross-checking GRN with PO and supplier invoice, training staff, and creating strong SOPs to control material movement.


3️⃣ Can you explain the difference between FIFO and FEFO?

Answer:

  • FIFO (First In First Out): Items received first are issued first, widely used for general materials.

  • FEFO (First Expiry First Out): Materials with closest expiry dates are issued first, especially important for chemicals, adhesives, consumables, and electronic components prone to aging.


4️⃣ What is GRN in the stores process?

Answer:
GRN (Goods Receipt Note) is a document and SAP transaction created after verifying incoming material against PO and supplier invoice. It confirms material quality, quantity, and condition before the stock is updated and payment is processed.


5️⃣ What challenges do you face in store management and how do you overcome them?

Answer:
Challenges include stock variations, space constraints, urgent production demands, slow-moving inventory, and supplier delays. These are resolved through planning, maintaining buffer stock, continuous monitoring, SAP-based reporting, supplier coordination, and implementing 5S and visual management.


6️⃣ What is the role of SAP in store operations?

Answer:
SAP helps record all inbound and outbound material movement, GRN, GIN, stock posting, rejection tracking, consumption reporting, vendor returns, and MIS data generation. It ensures transparency, accuracy, and real-time inventory visibility.


7️⃣ How do you handle slow-moving or non-moving inventory?

Answer:
By generating aging reports, conducting root-cause analysis, coordinating with purchase and production for alternative use, negotiating with suppliers for returns or replacement, and maintaining separate storage with monthly review meetings.


8️⃣ What steps do you take to prepare for internal and external store audits?

Answer:
