Interview Questions & Answers

1. What is indirect purchase?

Answer:
Indirect purchase refers to procurement of goods and services that support manufacturing operations but are not directly incorporated into the final product. Examples include consumables, maintenance items, safety equipment, stationery, tools, and other operational requirements.

2. How do you select an indirect purchase supplier?

Answer:
I evaluate suppliers based on quality, price, delivery capability, technical requirements, service support, payment terms, previous performance, and reliability. For important suppliers, I also consider their capacity and ability to meet long-term requirements.

3. How can you reduce procurement costs?

Answer:
Cost reduction can be achieved through competitive RFQs, supplier negotiations, annual rate contracts, alternate supplier development, volume consolidation, standardization, value analysis, and better demand planning.

4. What is SAP’s role in purchase and stores?

Answer:
SAP provides visibility throughout the procurement and inventory cycle. Purchase teams can manage requisitions, purchase orders, and supplier transactions, while stores teams can monitor goods receipts, stock levels, material issues, and inventory movements.

5. What is FIFO?

Answer:
FIFO means First In, First Out. The material received first is issued first. It helps prevent ageing, deterioration, obsolete inventory, and unnecessary stock losses.

6. How do you maintain inventory accuracy?

Answer:
I maintain inventory accuracy through proper material identification, systematic bin locations, SAP transaction discipline, regular cycle counting, physical-versus-system reconciliation, and investigation of inventory variances.

7. What would you do if physical stock does not match SAP stock?

Answer:
First, I would verify the material code, location, recent receipts, issues, transfers, and pending transactions. After identifying the reason for the variance, I would correct the transaction through the approved process and implement preventive measures to avoid recurrence.

8. How do you manage urgent material requirements from Production?

Answer:
I first verify the actual requirement and available stock. If material is unavailable, I coordinate with Purchase, suppliers, and Production Planning to establish the fastest possible solution while maintaining proper documentation and approval procedures.

9. What KPIs are important for a stores department?

Answer:
Important KPIs include:

  • Inventory accuracy
  • Stock turnover
  • Material availability
  • Inventory ageing
  • Stock-out frequency
  • GRN processing time
  • Material issue turnaround time
  • Excess and obsolete inventory
  • Space utilization
  • Cycle-count accuracy

10. Why should we hire you for the Manager – Store position?

Sample Answer:
“I have extensive experience in stores and material management and understand the importance of inventory accuracy, material availability, SAP discipline, and efficient warehouse operations. I can lead the stores team, coordinate with Production and Purchase, and use data to reduce inventory losses while ensuring uninterrupted material availability.”
