Specific Skill Requirement: Strong working knowledge of SAP MM Module
This role requires a proactive, detail-oriented individual with a good understanding of procurement workflows, documentation, vendor handling, and SAP transactions related to material management.
Key Skills Required
To succeed in this role, the candidate must have:
Hands-on experience in SAP MM Module
Strong communication and interpersonal skills
Good command of MS Office tools (Excel, Word, PowerPoint, Outlook)
Vendor coordination capabilities
Ability to manage purchase requests, documents, and follow-ups
Understanding of procurement processes and store operations
Ability to maintain accuracy, discipline, and timelines in documentation
Job Responsibilities
As a Store Assistant in the Procurement Department, the candidate will be responsible for supporting the end-to-end procurement and material management workflow. The responsibilities include:
1. PR Handling & Vendor Paneling
Processing and managing Purchase Requisitions (PRs)
Coordinating with internal departments to understand material and service requirements
Engaging in vendor paneling activities to identify suitable vendor partners
2. Issuing RFQs to Vendors
Preparing and sending out Request for Quotations (RFQs)
Ensuring accurate specifications, quantities, and requirements are conveyed
3. Vendor Follow-ups
- Following up with vendor partners for timely submission of quotations
- Maintaining communication to ensure clarity on technical and commercial requirements
4. Commercial Tabulation & PO Creation
- Preparing comparative price and commercial tabulations
- Assisting in Purchase Order (PO) creation in SAP
- Ensuring approvals and documentation are completed within timelines
5. MIS, Delivery Tracking & Reporting
- Monitoring delivery timelines and updating MIS reports
- Coordinating with logistics, vendors, and internal teams to ensure material availability
- Preparing weekly and monthly procurement status reports
6. Stakeholder Coordination
- Liaising with internal departments to understand procurement priorities
- Coordinating with external vendors for quotations, deliveries, clarifications, and PO terms
- Maintaining professional communication and building strong vendor relationships
7. Documentation & SAP Transactions
- Updating SAP MM with PR, RFQ, PO, GR, and other relevant entries
- Ensuring every procurement document is accurate and compliant with company policies
- Supporting audits and compliance checks with proper documentation
8. Communication & Administrative Support
- Handling email correspondence, drafting procurement notes, and maintaining records
- Supporting the Procurement team with administrative and documentation tasks
This role is essential for ensuring seamless procurement, material movement, accuracy in documentation, and timely vendor communication.
